Your Background
Internally your title will be Case Manager Assistant. A background as an administrative assistant would be great, but we'll also consider candidates from other backgrounds, such as bookkeeping or loan processing. To be a good fit for this opportunity, you will have:- Strong organizational skills and a detail orientation.
- The ability to multitask, manage multiple priorities and meet deadlines
- Experience in customer-facing roles and excellent people and relationship management skills.

- The ability to:
- Complete a Registered Paraplanner program within 12 months of being hired.

- A minimum of five professional references from previous supervisors and co-workers.
At the same time, we'll look to you to remain flexible about working late on occasion, such as during tax season.
The Role
You will join a team that includes Advisors, Case Managers and other Case Manager Assistants. Simply put, the Advisors lead engagements and provide guidance, Case Managers establish and track schedules and action items, and Case Manager Assistants execute on the action items. You will join a team that supports businesses with tax optimization strategies.In this role you will collect, organize and manage client data and documents to create and update the client's electronic and paper files. An important part of the role will be tracking correspondence, documents and other items that are sent to and received from client, including date, to whom the items were sent, how they were sent, etc. You will reach out to clients and others to collect information and documentation as necessary.
Other activities will include:
- Creating specific client documents and records, including e-files, agendas, flowcharts and more.
- Doing research to gather information.
- Updating files and documents in a timely manner.
- Tracking and reminding the Case Manager of appointments.
- Tracking and updating task lists for yourself and the Case Manager.
- Answering client calls when the Case Manager is not available.
